When was the last time you looked at your team’s job descriptions?

Not just glanced at them – really reviewed them, updated them, and asked yourself, “Does this still reflect what this role actually involves?”

If the answer is “It’s been a while,” you’re not alone. But this simple task can have a huge ripple effect on your people, your culture, and your business.

At Starfish People HR, we know that keeping job descriptions up to date isn’t just about being organised. It’s about building strong foundations through what we call organisational design – the structure that ensures the right people are in the right roles doing the right things to help your business grow sustainably.

So, what’s the big deal about a few paragraphs on a page?

Let’s take a look…

✅ Better hiring decisions

A clear, updated job description helps you attract candidates who are truly suited to the role. It sets expectations from day one and shows that your business is thoughtful and professional – which matters to top talent.

✅ Legal peace of mind

Accurate job descriptions are a vital part of staying compliant with UK employment law. They can also protect you in the event of disputes or disciplinary issues, because they outline what’s expected.

✅ Clearer performance and better engagement

People want to do well. But they need clarity. Knowing what their role involves – and what success looks like – helps your team feel more confident and connected. It also makes appraisals and performance conversations much easier.

✅ Scalability and structure

As your business grows, it’s easy for roles to become a bit blurred. Updated job descriptions keep things tidy and aligned, making sure your structure supports your goals (not fights against them!).

✅ Say goodbye to “job creep”

Have you ever had someone slowly take on more and more until they feel overwhelmed – or unclear where their job ends and someone else’s begins? Yep, us too. A well-written job description sets kind boundaries that protect your people from burnout and confusion.

So, what should a good job description include?

If you’re reviewing yours, here’s a helpful checklist:

Job title – Clear and reflective of the actual role
Purpose – Why this role exists and what it contributes
Key responsibilities – The main tasks (in plain English!)
Skills and qualifications – What’s essential and what’s desirable
Reporting lines – Who they report to and who (if anyone) reports to them
Location – Office-based, hybrid or remote?
Employment type – Full-time, part-time, fixed-term, permanent?
Working hours – Core hours or flexibility?
Pay and benefits – Including perks, bonuses, and pensions
Equal opportunities statement – To show your commitment to fairness
Data protection statement – In line with UK GDPR
Health and safety – Especially if there are specific duties or risks
